Adorably Clean Field Technician On-Site Runbook

Purpose

This runbook provides step-by-step instructions to ensure consistent, professional, and thorough service delivery while on a customer site. It includes procedures for customer interaction, service execution, documentation, and post-job reporting.


On-Site Process Checklist


1. 🕐 Arrival & Check-In

  • Arrive on time in Adorably Clean-branded uniform.
  • Park respectfully—do not block driveways, sidewalks, or fire hydrants.
  • Review job notes and services requested in the technician app or printed sheet.

2. 🙋 Customer Introduction

  • Politely greet the customer: “Hi, I’m [Your Name] from Adorably Clean. I’ll be taking care of your [window/gutter/vent/solar] cleaning today.”
  • Confirm service details and any special instructions.
  • Let the customer know you’ll begin with a property walkthrough and water pressure reading.
  • Locate water and power sources that you can use
  • Confirm they have removed all screens that may interfere with cleaning. It is expected that customers remove the screens themselves.
    • If a customer insists that Adorably Clean do the removal, inform them there is a risk of damage, even though staff will exercise extra care. Have them sign the waiver before removing any screens.

3. 📸 Initial Walkthrough & Photo Documentation

Objective: Document the property’s current condition before work begins.

Post to the group chat: Date, Time, Address. Type “Before pictures and post the following to the group chat:

Take clear, well-lit “Before” photos of:

  • All exterior windows (wide + close-up)
  • All gutters, eavestroughs, and downspouts
    Required even if gutter cleaning is not scheduled
  • Dryer vent exterior (side/rear wall or soffit) —
    Required even if dryer vent cleaning is not scheduled
  • Any visible damage, debris, or hazards
  • Surrounding property (e.g., patios, decks, walkways) for liability

📝 If clogged gutters or a blocked vent are noticed, flag them for the report and inform the customer — this can lead to upsell or preventive advice.


4. 💧 Water Pressure Measurement

  • Measure outdoor water pressure using the provided gauge.
  • Record PSI value in group chat

5. 🧹 Gutter & Downspout Cleaning

  • Follow safety procedures for ladders and roof access.
  • Remove debris, rinse where appropriate, and inspect downspouts.

Photo Requirements:

  • “Before” and “After” shots of all gutter lines and downspouts
  • Any blockages or defects found

6. 🪟 Window Cleaning

  • Confirm whether exterior, interior, or both are scheduled.
  • Ask for safe access to interior windows (if applicable).
  • Move furniture respectfully, and return it post-cleaning.

Photo Requirements:

  • “Before” and “After” for each window section

7. 🌀 Other Services (As Ordered)

Note: The following inspections are required even if not ordered.

🔍 Gutter & Downspout Inspection (Always Required)

  • Inspect and photograph all gutters/downspouts for visible:
    • Blockages
    • Overflows
    • Loose hangers or seams
    • Organic growth (moss, plants)
  • Log any findings in the Job Report.

🔍 Dryer Vent Inspection (Always Required)

  • Photograph exterior vent cap.
  • Look for signs of:
    • Lint buildup
    • Bent/flimsy duct covers
    • Rust or corrosion
    • Bird/rodent nesting
  • Note concerns in the Job Report and notify the client if necessary.

8. 👣 Final Walkthrough with Client

  • Show customer before/after results.
  • Explain any challenges encountered (e.g., blocked downspout).
  • Ask if they’re happy with the service.
  • Record any feedback in the app or notes.

9. 📬 Flyer Distribution (Required)

  • Distribute 10–15 flyers to homes in each direction from the job site.
  • Prioritize direct neighbours.
  • Place neatly on door handles or in mailboxes (non-Canada Post only).
  • Be courteous—avoid trespassing or entering gated properties.

10. 📝 Job Report Submission (Required)

After completing the job, submit a Job Report via the group chat.

Include:

  • ✔️ Summary of Work Completed
  • ⚠️ Major Issues Encountered (e.g., blocked downspouts, brittle seals)
  • 📣 Whether the Client Was Informed
  • 💧 Water Pressure Reading
  • 😊 Customer Satisfaction Rating (1–10)
  • 🗒️ Additional Notes/Follow-up Needed

🚨 Job Report must be completed before marking the job as “Complete.”
